Terms of Service

The short version

  • Worvis is for businesses. The person who creates a workspace agrees to these terms for their business.
  • Every new workspace gets a free trial, with no card needed. Pay to keep going after it ends.
  • Paid plans renew automatically by card until you cancel. Cancel any time and you keep access until the end of the period you've paid for.
  • Your business's data belongs to you. You're responsible for telling your staff what Worvis records about them, including their location if you turn on GPS sign-in.
  • Nigerian law applies.

1.About these terms

Worvis is a service for managing staff attendance, tasks and HR, provided by [COMPANY LEGAL NAME] ("Worvis", "we", "us"). These terms are an agreement between us and the business that uses Worvis ("you").

By creating a workspace, or by using Worvis on behalf of a business, you confirm that you're at least 18, that you have authority to accept these terms for that business, and that the business accepts them.

Your staff use Worvis through the workspace you create. You're responsible for your staff's use of it, and these terms apply to them through you.

2.Your account

  • Give accurate details when you sign up, and keep them up to date.
  • Keep passwords private. You're responsible for activity in your workspace, including by staff you add or approve.
  • Workspace admins decide who can join, what they can see, and when access is removed. Tell us straight away if you think someone has got into your workspace without permission.

3.Free trial

New workspaces start with a free trial, currently 14 days unless we tell you otherwise when you sign up. You don't need a card to start one. Each business can have one free trial.

When the trial ends, your workspace pauses until you choose a plan. Your data is kept (see section 12), and choosing a plan restores access.

4.Plans, payment and renewal

  • Our plans, prices and what each includes are shown on our pricing page and on your Billing page. Prices are in Nigerian Naira. If tax such as VAT applies, we'll show it before you pay.
  • Plans are billed monthly or yearly, in advance. Card payments are processed by Paystack; we don't store your full card details. We can also arrange payment by bank transfer.
  • Renewal is automatic. At the end of each billing period we charge the card you paid with for the next period, at the price that applies at that time (see sections 7 and 8), until you cancel.
  • If a payment fails, your workspace becomes "past due". We'll retry the payment, and you keep access for a short grace period (currently 3 days). If payment still hasn't been made by then, the workspace pauses until it is.
  • Each plan has limits, such as the number of staff. You can't add more than your plan allows; upgrade if you need more.

5.Changing your plan

  • Upgrades take effect immediately. We credit the unused part of your current period against the price of the new plan, so you only pay the difference.
  • Downgrades take effect at your next renewal, so you keep what you've paid for until then. If your team is bigger than the new plan allows, you'll need to reduce it before the change.

6.Cancelling and refunds

You can cancel at any time from your Billing page. Cancelling stops the next renewal. You keep full access until the end of the period you've already paid for, then the workspace pauses.

We don't give refunds for part of a billing period, or for a period you didn't use. We will refund you if we charged you by mistake, for example twice for the same period, and wherever the law requires it.

7.Coupons and special prices

  • Coupons are subject to the conditions shown with them: which plans they apply to, how long the discount lasts, when they expire and who can use them. They have no cash value and can't be exchanged or transferred.
  • A one-time discount applies to a single payment; your plan renews at its normal price afterwards.
  • If we agree a special price with your business, it applies only on the terms we agreed, and we may refuse or remove a coupon that was used outside its conditions.

8.Price changes

We may change our prices. If a change affects what you pay, we'll tell you at least 30 days before it applies to you, and it will only take effect from a renewal after that notice. If you don't want to continue at the new price, you can cancel before then.

9.Your data and your staff

Your data belongs to you. Everything you and your staff put into Worvis (staff records, attendance, tasks, payroll figures, documents and so on) remains yours. We use it only to run and support the service for you, to keep it secure, and as the law requires. We don't sell it.

You're in charge of your staff's information. For the personal information of your staff, your business decides what is collected and why, and Worvis processes it on your behalf. That means you're responsible for:

  • having a lawful reason to record your staff's information, as required by the Nigeria Data Protection Act 2023 and any other law that applies to you;
  • telling your staff what Worvis records about them, including their location when they sign in or out if you turn on GPS sign-in;
  • keeping only what you need, correcting what's wrong, and removing people who've left when you no longer need their records.

Worvis is hosted on servers in the United Kingdom. We protect your data with reasonable technical and organisational measures. If we become aware of a breach that affects your data, we'll tell you without undue delay.

10.Acceptable use

You and your staff must not use Worvis to:

  • break the law, including employment and data protection law;
  • record or track people without a lawful basis, or monitor anyone outside what's needed for work;
  • upload anything unlawful, harmful or that you don't have the right to share;
  • try to access other businesses' data, get around plan limits or security, or disrupt the service;
  • copy, resell or build a competing product from Worvis.

11.Availability and support

We work to keep Worvis available and reliable, but we can't promise it will never be interrupted. We may need short pauses for maintenance, and we'll try to schedule them outside working hours. We may improve or change features over time; if we remove something important to a plan you've paid for, we'll tell you first.

12.Suspension and closing accounts

  • We may pause or close a workspace that hasn't been paid for, or that breaks these terms. Where we reasonably can, we'll warn you first and give you a chance to fix it.
  • You can ask us to close your workspace at any time.
  • When a workspace is paused or closed, we keep its data for 90 days, so you can come back or ask us for a copy. After that we may delete it permanently, unless the law requires us to keep it longer. Please export anything you need before you leave.

13.Ownership

Worvis, including its software, design and name, belongs to us. These terms give you the right to use it for your business while your workspace is active; they don't transfer any ownership to you. If you send us ideas or feedback, we may use them freely to improve Worvis.

14.Our responsibility to you

  • Worvis is a tool to help you run your team. Decisions about your staff, and the accuracy of what you record, remain your responsibility.
  • Payroll: Worvis calculates pay from the figures and settings you enter. You're responsible for checking them, and for meeting your tax, pension and other legal obligations as an employer.
  • To the extent the law allows, Worvis is provided "as is", and we're not liable for indirect losses, such as lost profits, lost business or lost opportunities.
  • To the extent the law allows, our total liability to you for anything relating to Worvis is limited to the amount you paid us in the 12 months before the claim arose.
  • Nothing in these terms limits liability that the law doesn't allow us to limit.

15.Changes to these terms

We may update these terms as Worvis develops. For important changes, we'll tell workspace admins at least 14 days before they take effect. Continuing to use Worvis after that means you accept the updated terms; if you don't, you can cancel before they apply.

16.Governing law and disputes

These terms are governed by the laws of the Federal Republic of Nigeria. If something goes wrong, please contact us first and we'll try to resolve it with you. If we can't, the courts of Lagos State, Nigeria will have jurisdiction.
